Group Formation & Naming Guidelines

PeTAL Connect encourages the formation of professional groups that foster collaboration, knowledge exchange, and sector development across the Caribbean and beyond. To protect members, organisations, and the integrity of the platform, the following guidelines apply to the creation and management of groups within the Activity Feed.

1 What is the purpose of groups on PeTAL Connect?

Groups on PeTAL Connect are intended to:

  • Support professional learning and workforce development
  • Facilitate collaboration among educators, consultants, and professionals
  • Provide safe, structured digital spaces for sector dialogue
  • Complement (not replace) formal organisational communication channels

Groups must clearly state their purpose and intended audience at the time of creation.

2 Can I create a group using an organisation’s name (e.g., a university or ministry)?

A group may not be created using the name of an existing registered organisation, association, institution, or business unless:

  • The creator is an authorised representative of that entity, and
  • Written permission can be provided upon request.

This includes (but is not limited to):

  • Universities
  • Ministries or government agencies
  • Professional associations
  • NGOs and development agencies
  • Private companies
  • Consultancy firms

If a group name is identical or substantially similar to a legally registered entity, PeTAL may request proof of authorisation, require a name change, or close/suspend the group if compliance is not met.

3 What about employer-related or internal staff groups?

Groups that appear to represent a specific employer, internal department, staff association, or a company-led initiative must be created with the employer’s permission.

If permission cannot be demonstrated, the group may be required to:

  • Clearly state that it is an independent, informal discussion group, and/or
  • Modify its name to avoid implying official endorsement.
4 Can I name a group after a person (e.g., an academic or public figure)?

Groups may not be named after an individual (public or private) unless:

  • That individual has explicitly granted permission, and
  • The group does not misrepresent the person’s endorsement, affiliation, or involvement.

If a group is created using an individual’s name without permission, PeTAL Connect may require written authorisation, request a name change, or close the group if corrective action is not taken.

5 How does PeTAL prevent confusion or brand misrepresentation?

Group names must not:

  • Imitate PeTAL’s official branding
  • Suggest formal partnership, accreditation, or endorsement without approval
  • Use logos, trademarks, or copyrighted material without permission
  • Intentionally mirror the name of an existing group to cause confusion

Where a naming conflict exists, priority may be given to legally registered organisations, authorised representatives, and previously established compliant groups.

PeTAL reserves the right to determine whether a group name creates confusion or misrepresentation.

6 What are recommended naming alternatives and best practices?

Members are encouraged to use clear descriptors such as:

  • “Independent Discussion Group for…”
  • “Caribbean Educators – Informal Network”
  • “Policy Professionals Forum (Unofficial)”
  • “Alumni & Friends of…” (where appropriate and not misleading)

This ensures clarity while supporting professional exchange.

7 What governance and moderation expectations apply to groups?

All groups must:

  • Designate at least one moderator
  • Uphold PeTAL’s Code of Conduct
  • Maintain respectful, professional engagement
  • Avoid defamatory, misleading, or unauthorised representation

PeTAL Connect reserves the right to review group activity, request administrative adjustments, and suspend or close groups that breach guidelines.

8 How are disputes or complaints about naming handled?

If a naming or representation concern is raised:

  • PeTAL will notify the group administrator
  • A reasonable period will be provided to address the issue
  • Failure to comply may result in suspension or closure

PeTAL’s decision will prioritise legal compliance, ethical practice, and the protection of members and organisations.

9 Does PeTAL have discretion to refuse or close groups?

Yes. PeTAL Connect maintains the right to:

  • Refuse the creation of a group
  • Require name modifications
  • Merge, archive, or close groups where necessary
  • Update these guidelines as the platform evolves

Guiding Principle

PeTAL Connect exists to strengthen professional communities — not to create confusion, misrepresentation, or reputational risk. Group formation is encouraged. Impersonation or unauthorised representation is not.
